Step 1: Connect your email and calendar
Setup is an OAuth connection to your firm's Gmail, not an implementation project. Kosa requests read access to your firm's communication and calendar, and it works alongside whatever tools you already run rather than demanding a migration.
There is nothing to import and no spreadsheet to clean up first. The firm's history is already sitting in its inboxes and calendars; Kosa treats that as the source of truth. Data is encrypted in transit and at rest, and access is scoped to what the system needs to build your firm's records.
Step 2: AI extracts and structures everything
Kosa's extraction agents read each thread, meeting, and document and pull out the structured facts a venture firm runs on:
- People: names, roles, firms, contact details, and the context of how your team knows them.
- Companies: names, sector, funding stage, status, and every metric mentioned in communication.
- Deals: stage, round, terms, size, co-investors, attached documents, and the full timeline from first touch.
- Portfolio updates: ARR, headcount, runway, milestones, and risks, extracted from board decks and founder update emails.
- Meetings: attendees, topics discussed, decisions made, and action items owed.
- Documents: term sheets, board decks, and fund documents parsed into structured fields instead of sitting as attachments nobody reopens.
- Relationships: who at the firm actually communicates with whom, at what frequency and recency, built from real interaction patterns rather than manual logging.
Step 3: Review what matters
Humans review the small fraction of extractions that need judgment; the rest happens automatically. Each extraction carries a confidence score. High-confidence facts flow straight into the record. Ambiguous ones land in a review queue where your team approves, edits, or rejects them in seconds.
Corrections teach the system. If your firm records contracted ARR rather than run-rate ARR, you fix it once and Kosa applies that convention to the next extraction, for every company. Your team confirms what Kosa already found instead of filling in blank fields.
